Administrative overview and control with four BVs

LELYSTAD - In 2019, HAKA Metalworks split into four separate companies. One of them arranges purchasing and production worldwide and the other three companies are responsible for the sale of customer-specific, high-quality metal products for construction, industry, the agricultural sector and infrastructure.

Internal affairs manager Bert-Jan Klop: 'That was an administrative challenge. Our Exact package was expanded with additional administrations, but the four different business units did not talk to each other.

Bert-Jan: 'Due to the growth, we lost the overview. The big problem was that we could not see exactly how much was sold in total and whether there was enough stock available. Subsequent delivery, partial delivery, with Exact we never got an up-to-date overview. We missed orders because there was insufficient stock available. Through Exact's app store we came into contact with T-Box, an additional implementation that can link business units into one administrative system.

What exactly does T-Box do?

'We submitted our wishes to a T-Box consultant,' Bert-Jan continues. 'An illuminating conversation followed. Based on this, automatic links were created to create one administrative whole. Manual input was almost completely avoided with ICL (Inter Company Logistics) and some extra creativity and testing.

There is quite a bit of work involved. For example, the old orders had to be deleted or processed and re-entered by copying.

Later it turned out that an upgrade of EOL was also necessary. The basic version of EOL does not allow additional quantities of deliveries on top of the order quantities. You do need that in combination with the T-box. Initially, T-Box performed an update every fifteen minutes. That caused problems. Now we run it once a day. That works better.'

How do you like using T-Box?

'We have been using ICL since April. The most important thing we learned is that we had to impose rules on ourselves to ensure that T-Box runs 100% properly. If we do not enter an order or packing slip correctly, problems will arise.

We should not think like humans, but like the T-Box system. If you understand that, you can also come up with solutions that work. For example, if you reverse packing slips or for return deliveries.

My tip to the T-Box consultants: Explain very clearly how the system works and what you need to do to get a good result. Then we as a customer will understand. We also really had to adjust our working methods so that the implementation now works flawlessly.'
